Job Title: Operations and Events Support Administrator Location: Remote, USA CST Timezone Hours : 30hrs per week Salary: 1000 - 1500 USD ( Final offer will depend on the client's approval and assessment of the candidate's overall qualifications) Work Schedule: Flexibility to work evenings and weekends as required by event schedules; EST and CST timezone; business at peak on Fridays and Saturdays Job Summary: We are looking for a highly organized and proactive Operations and Events Support Administrator to join our team. In this role, you will play a crucial part in ensuring the smooth execution of our events by managing the Run of Show, coordinating venue operations, handling technical layout and requirements, and overseeing the logistics of consumables. This position requires a detail-oriented individual with strong communication skills and the ability to thrive in a fast-paced environment. Key Responsibilities: Run of Show Management: Assist in planning and executing the Run of Show for each event, ensuring all elements are timed perfectly and transitions between segments are seamless. Coordinate with the technical team to manage sound, lighting, and other production needs. Develop contingency plans for potential issues during the event. Venue Operations: Oversee venue preparations, including seating arrangements, stage setup, and compliance with health and safety regulations. Liaise with venue staff to ensure all technical and operational requirements are met. Conduct pre-event checks to confirm all equipment is set up and functioning correctly. Logistics and Consumables Management: Manage the ordering, shipping, and inventory of show consumables such as bingo cards, prizes, and props. Coordinate with suppliers to ensure timely delivery and resolve any issues related to shipments. Maintain accurate records of consumables inventory and prepare reports as needed. Communication and Coordination: Serve as a key point of contact for internal teams, venue staff, and external suppliers regarding event logistics and operations. Draft and send out internal communications regarding team responsibilities and event schedules. Communicate with venue management to confirm technical and operational details. Post-Event Evaluation: Assist in gathering feedback from team members and participants to identify areas for improvement. Prepare and distribute post-event reports detailing operational successes and challenges. Qualifications: Proven experience in event planning, operations, or a related field. Strong organizational and multitasking skills with the ability to manage multiple events simultaneously. Excellent communication skills, both written and verbal. Proficient in using event management software, project management tools, and standard office applications. Ability to work independently and as part of a team in a fast-paced, dynamic environment. Strong problem-solving skills and the ability to remain calm under pressure. Flexibility to work evenings and weekends as required by event schedules.
